Our Policies
Welcome to Warrensburg Inn & Suites - To help ensure your stay is convenient and satisfactory, please review the details of our motel policies below.
Motel Policies
- All reservations require a major credit card to reserve a room (American Express, MasterCard, VISA, Discover). No Cash/No Checks for deposits.
- NO LARGE GROUPS...PLEASE. Room-block reservations for 2-3 rooms maximum...we only have 11 rooms.
- Black-Out Dates for special events are subject to different requirements (e.g., Biker Week(s), Balloon Festival, Garage Sale, and such).
- Check-In: After 4:00 pm
- Check-Out: By 11:00 am
- Late Check-Out: $20 fee/hour.
- Lost room key: $25 fee/key (if found, please return/mail to WI&S).
- Room rate/night is for two (2) people. Rooms accommodate four (4) people MAX. Extra adult/$12 for Guest Rooms and $15 for Suite Rooms; and children under 12/free.
- Parking: Guests have (1) car space in front of their room. 2nd car parking based on availability.
- NO COMMERCIAL VEHICLES - DO NOT DRIVE IN (e.g., Commercial Buses, Semi-Trucks, Tractor-Trailers/18-Wheelers).
- Rollaway beds ARE NOT available.
- Office Hours: 8:00 am to 8:00 pm. Please make arrangements if your arrival will be after 8:00 pm.
- Quiet Hours: 9:00 pm to 8:00 am. Loud noise, TV and/or music can be heard between adjacent rooms. Please, be considerate.
Guest Policies
- Room reservations cannot be made by minors (< 18 years of age). Minors cannot stay in a room without a legal consenting guardian (21 years or older).
- Guests registration cards must be completed at the office. For security purposes, please show federal/state I.D. at check-in.
- Guests must pay the balance due plus any additional taxes and fees due upon arrival.
- Guests must make arrangements with motel management for early arrivals before 4:00 pm and late arrivals after 8:00 pm.
- Guests are allowed two (2) visitors at one time between the hours of 4:00 pm and 9:00 pm (strictly enforced). Please notify the front desk if you are expecting guests.
- Special requests (e.g., specific rooms, extended stays, parking, etc.) are subject to availability. Additional charges may apply.
- WI&S is a family-oriented motel. Motel quiet hours are from 9:00 pm to 8:00 am everyday. This is strictly enforced. Respect other guests/staff, no loud noise (if we can hear it, it's too loud), no parties, no drug use, no rowdy behavior...no excuses, no exceptions! If this is something you have to do, do it somewhere else. You will be asked to leave immediately...without a refund.
Reservation & Payment Policies
- Make online reservations using our website: www.warrensburginnandsuites.com and click the Book Now! button.
- Make phone reservations during summer season only. During off-season, our booking software is for guest use only.
- Room reservations must be guaranteed with a major credit card (American Express, MasterCard, VISA, Discover).
- Checks or Cash are not accepted for room reservations. Guests may use cash for final payment (not deposits).
- Room "deposits" are equivalent to your room rate for one (1) night (base rate + taxes + fees).
- Your room-balance payment is due at arrival (check-in).
- All guest credit card data is encrypted. All personal data is used solely for reservation purposes - nothing else.
IMPORTANT - PLEASE READ THIS: "Room Deposits" and "Room Balance Payments" ARE NOT COLLECTED AT TIME OF RESERVATION. Your room is reserved when you submit your information. However, only WI&S will collect deposit payments and provide you with a personally generated e-mail confirming your reservation, receipt-of-deposit and balance due. We will collect deposits as soon as possible after reservation is received. If your reservation (booking) date is within 7-10 days of arrival date, the deposit may be collected at check-in with your room balance.
WI&S contracts with SiteMinder Distribution Ltd., (United Kingdom) for use of their proprietary hotel booking software. THEIR CREDIT CARD FUNCTIONS ARE DE-ACTIVATED (DISABLED), AND PAYMENTS CANNOT BE PROCESSED - WE DID NOT CONTRACT FOR THOSE SERVICES. SiteMinder generates a default reservation receipt for their UK clients using their payment processing services. Consequently, your SiteMinder receipt will show "Thank You for Your Payment." Please disregard that receipt statement - the payment did not happen.
WI&S contracts with Total System Services, Inc., (TSYS) (United States) for use of their credit card payment processing services. These services are provided by TSYS in conjunction with local banking services here in Warrensburg, New York.
Cancellation Policies
- Online cancellations MUST be made online - BY THE GUEST (i.e., WI&S website (SiteMinder) or OTA (Booking.com)).
- Phone cancellations are only for guests w/ reservations made directly (manually) through our front desk.
- NO CANCELLATION FEE (0%) is charged for cancellations made more than SEVEN (7) DAYS prior to arrival.
- A PARTIAL CANCELLATION FEE (50%) is charged for cancellations made between Seven (7) DAYS and 24-HOURS prior to arrival.
- A FULL CANCELLATION FEE (100%) is charged for cancellations made less than 24-HOURS prior to arrival.
- EARLY DEPARTURES will be refunded the remainder of the room fee ONLY if we are able to re-rent the room w/o financial loss.
- An ADMIN-FEE (5%) is applied for us to manually spend time online making room or reservation changes.
- NOTE: When rooms are reserved, ALL future reservations until that date are rejected. Cancellations can/do impact our earnings.
Pet Policies
WI&S is pet friendly. However, pet fees, rules, and restrictions do apply.
Pet Fee, dogs only, & Requirements:
- There is a refundable cash deposit of $100 for dogs. The deposit will be returned in full once the room has been inspected and deemed in the same condition as on check-in. And, an additional nightly fee of $40 per dog for cleaning and removing pet allergens, etc.
- Pets are required to be current on vaccinations and licensed (it's the law). Proof of current rabies certificate must be presented upon check-in. There will be no exceptions.
- Owners are required to attend to their pets at all times - no unattended pets!
- Owners are required to keep pets on a leash at all times.
- Owners are required to 'pick-up' after their pets. Shoes are magnets to dog turds - please be considerate.
- For room and/or property damages occuring as a result of your pet(s), additional fees will apply. Damages will be the financial responsibility of the registered guest and charged to the credit card on file.
- Per the ADA, Service animals are working animals, not pets.
Pet Rules & Restrictions:
- For the safety/security of all our guests, aggressive, intimidating, and antisocial "dog breeds" are not allowed (e.g., Pit Bulls, Rottweilers, Dobermanns, Chow Chows, Alaskan Malamutes, KILLER CHIHUAHUAS, etc.).
- Aggressive and/or excessive dog behavior will not be tolerated (e.g., biting, barking, whining, chasing, digging, etc.). You will be required to find other shelter for your pet immediately.
- One (1) med-sized dog (Wt Limit: 50-lbs max) or Two (2) small-dogs (Wt Limit: 25-lbs/each max).
- Pets ARE allowed in Suite Rooms 7-11 (these rooms have wood-laminate flooring).
- Pets ARE NOT allowed in Guest Rooms 1-6 (these rooms have carpeting).
Smoking Policies
- WI&S strives to maintain a smoke free environment. ABSOLUTELY NO SMOKING IN THE ROOMS!
- SERIOUSLY...a fee of $500 will be charged to the credit card on file for Smoking or Vaping in our rooms.
- Cleaning / lost income costs more than $500 to rectify any occurrence.
- Recommended smoking areas are in the grassy area near the fire pit.
- For the health and safety of all our guests and their potential sensitivity to secondhand smoke - we kindly ask that you DO NOT smoke in front of or near the motel room doors and windows.
- Cigars must be smoked AWAY from the rooms (grass areas only...please).
